Click & Collect - Inventory Management & Product Storage
Inventory Management
Product availability at the online store is based on inventory reported in POSWorks.
If inventory levels fall below a set minimum for each product, the product will show as Out of Stock on the website and will not be available for purchase by customers. It is important that Stock on Hand records are accurate to prevent a situation where a product is shown as Out of Stock on the website when stock is available, resulting in potential missed sales. Accurate Stock on Hand levels will also prevent the occurrence of online orders being placed when stock is not available which will delay delivery times for orders.
Inventory management for online sales requires the same procedures used for instore inventory management, no additional tasks are required. Information about inventory management procedures can be found in the following guides:
- Invoice Matching Guide
- Credit Note Guide
- Purchase Order Guide
- Stock Adjust Guide
- Top Up Ordering Guide
If working with Aretex to process invoices, ensure invoices for stock received are emailed to Aretex at one time (rather than sending individual invoices) to ensure efficient processing. Aretex provides a Daily POSWorks Update, Stock Items Variance Report and POS New Items report.
Product Storage
Products used to fulfill Click & Collect orders can be from shop or back office stock. If there is increased demand for particular items with Click & Collect orders, the Merchandising team will work with you to adjust Min and Max levels to accommodate demand. In this case, you may wish to have a dedicated area for product storage.
Storing parcels for customer collection
Parcels ready for customer collection are to be stored in a secure area behind the main front of shop counter, either in a basket or on shelving. All parcels must have a copy of the order invoice stapled or taped to the outside so that a customer’s order can be easily identified.
A Click & Collect poster is able to be supplied if you wish to make a space for Click & Collect pick up.
Packing station
If space allows, it is best practice to have a dedicated area for packing Click & Collect orders. In this area you need bench space for products that will be packed and space to store the paper bags used for Click & Collect orders. Ideally this space will also be near the computer where Brightpearl is installed and a printer for printing invoices.
